By now, you’ve heard us talk about the numerous benefits associated with automating your document generation process in Salesforce including –

  • Eliminate document errors
  • Control document versions, i.e., ensure the most up-to-date is distributed
  • Consolidate multiple documents into a single package
  • Reduce or eliminate document review cycles
  • Improve organizational productivity and efficiency

.
But we’ve only scratched the surface. Automating your document generation process also provides multiple indirect benefits that for some organizations can make an even bigger impact on both individual’s and your overall organization’s success. Today we’ll look at the first four.
Doc Gen Benefits

Improve Data Accuracy
Think about the last report you generated in Salesforce – how confident were you of its accuracy? Probably not so much.

MeritageHomesWith Drawloop, users can only generate a document by merging data that sits in either Salesforce or another third party source. This means your database MUST be accurate otherwise the document is inaccurate. As a result, this drives user behavior to keep data accurate and up-to-date. You can be confident that any data pulled from Salesforce to generate a plan, forecast or another report will be accurate and up-to-date.

Read how Meritage Homes automated 98% of the data in their contract process.

Increase Data Compliance and Salesforce Adoption
As a result of automating your document process entirely in Salesforce, your organization will organically see a substantial improvement in data compliance and Salesforce adoption. And for obvious reasons – individuals can only access their documents via Salesforce and can only merge either Salesforce or third party data into those documents.

Cartelligent
Reduce Resources Dedicated to Documents
Prior to automating their document generation process, many organizations dedicate multiple resources to auditing and managing documents. This not only includes headcount, but also additional software or technology. No longer required, companies can now reallocate people resources and eliminate the cost of additional technology.

Learn how Cartelligent.com eliminated third party pricing software saving them thousands of dollars in yearly license costs.

Reduce Training and Time to Ramp up New Team Members
Any team member will tell you that the most challenging part of a new job is learning the internal processes. With automated document generation in Salesforce, you now have a replicable process that allows you to ramp up new hires faster than ever so they can focus on their “real job”. No more training on how to create and deliver various documents in the sales process – leads, opportunities, contracts and renewals to name a few.

Stay tuned for our next post where we’ll discuss four more ways any organization can benefit from an automated document generation process!

Eventually everyone breaks down and utilizes technology. . . even Santa. For hundreds of years, he has compiled his naughty and nice list the only way he could – by writing each name down one by one in his book. Can you imagine how long it has taken him each year to maintain “the” list? What about all the new children that must be added each year? Or worse yet, what about the kiddos that move from list to list. . . like from nice to naughty! And while Santa isn’t getting any older, he isn’t getting any younger either and this process has just worn him down. He knew things had to change.

Based on reliable North Pole sources, we are excited to announce that Santa has moved to the cloud! That’s right! No more manually compiling his lists again! Santa, with the help of his elves, has spent the last year deploying Salesforce and Drawloop to manage his Naughty & Nice lists. Now Santa has a CRM database filled with millions of children from all over the world. And with a click of the DDP button, Santa generates his lists with Drawloop.

But this is only the beginning. Santa’s elves have also been diligently updating each child’s information and adding his or her Christmas wish list. Utilizing Drawloop, Santa can now automatically pull in mass every child’s wish list whether by city, state, county or country.

The elves can also pull the same list on their mobile device to help track inventory and know which toys are hot this year in order to increase production to meet the demand.

Santa even utilizes Excel as middleware to incorporate complex calculations to improve forecasts for next year.

Now instead of flipping through thousands of pages, Santa and the elves turn to Salesforce1 to review a child’s record, update their information and generate Santa’s Naughty and Nice lists. Rumor has it he now has a lot more spare time on his hands and plans to vacation in the South Pole this summer.

So you better watch out. . .‘cause Santa has never been so productive or efficient!

From the Drawloop family to yours – wishing you a safe and wonderful Holiday Season and a Happy New Year!

We are thrilled to announce today’s release of LOOP Document Services version 6.9 on the AppExchange! This version brings many long awaited features to our customers. Keeping in line with our current blog post series, we have broken out new enhancements for Any Document, Any Data, and Any Delivery.

Update now to version 6.9.

Any Document
We continue to enhance our file support for Microsoft Word, Excel, and PowerPoint, PDF, Salesforce Visualforce pages, Saleforce Quote templates, Salesforce Mailmerge templates, and Salesforce Reports. Below is a list of some enhancements in this release:

  • With this update, the DDP Migration tool now maps migrated Documents and Content files to their corresponding Folder and Library, respectively, if found in the destination Salesforce org.
  • DDP cloning includes the ability to clone Documents and Content files associated with the DDP. This is especially useful for creating test or one-off DDPs.
  • clone_ddp

  • With the DDP “Allow Attachments” checkbox checked, running DDPs in mass (from a list view or a Salesforce report) provides the user options to include ad hoc files (Attachments, Related Content, and Feed Attachments) with the DDP.

Any Data
This release includes exciting new Relationship enhancements as well as other data related enhancements for merging data into your DDPs.

  • Relationships – Grouping. A related list of records can now be grouped by one or more fields on the records to create table+row replication of records grouped together.
  • Relationships – Unrelated Data. No longer do you need to create a Salesforce Report to retrieve data unrelated to the DDP starting object. Create an Unrelated Data Relationship to pull data from any accessible object with the appropriate filters and record limit.
  • Relationships – SOQL Queries. Similar to Unrelated Data, you can now create your own custom query to take advantage of the flexibilities SOQL has to offer. Use keywords like Group By, aggregates like Sum and Count, specify the appropriate limits, and more.
  • soql_relationship

  • Out of the box support for Contract Line Items (child of Service Contract) and Order Items (child of Order) have been added. Now you can automatically retrieve line item and product information for both of these objects from their respective parent objects.
  • Support for Salesforce External Data Sources has been added to allow you to use any of the available Relationship options to pull in external data into your DDPs.
  • DDP Forms have been enhanced to support rich text inputs.

Any Delivery

  • For enterprise customers and our partners, we are excited to announce the ability to completely customize the DDP run experience. The new Process DDP Component supports custom styles, handler actions, and text to allow for a seamless customized and/or embedded DDP run process.
  • process_ddp_component

  • Enhancements to our SignNow delivery option include the addition of complex fields and the ability for SignNow to pass data captured during the signing process back to Salesforce. SignNow complex fields allow DDP administrators to use shorter tags within the document and specify various predefined validation options.
  • Our Sertifi integration has been updated to support more signers as well as signers defined by their name and email instead of only Salesforce Contacts.

Contact us today to see how your organization can benefit from these exciting new enhancements!

Part three of our latest blog series, “Any Data. Any Document. Any Delivery.”

ddp email blogIt’s been two long hours but you’ve finally finished manually editing and creating the documents needed for your customer. Now comes the easy part – sending them – or so you thought. It’s only a half a dozen documents in various formats and various sizes. How long could it take to upload, attach, store and send them? More importantly, how confident are you that your customer will receive them?

Document delivery is often an after-thought. Yet at the end of it all, you could say it’s one of the most important pieces of a document generation process. What’s the point of going through the work of finding the data and creating the documents if you are either unable to send them or unsure if the recipient is going to receive them? Also, how often do you forget the proper business workflow required during and after your document is created?

Your document process should not be handcuffed by a limited number of delivery options. You should be able to send documents in a way that not only satisfies your company’s business workflow requirements but that of your customers and partners. A document generation process contained entirely in Salesforce does this and more.

As a refresher, delivering documents via Drawloop is exponentially easier because of one thing – a DDP (Dynamic Document Package). A DDP is the end deliverable, which can contain one document, five documents or even 50 documents that are collated into a single “package.” No more multiple attachments, exponential file sizes or file types. A single DDP creates flexibility to allow you to deliver your documents in a multitude of ways:

  1. Deliver your DDP through traditional means like email or download
  2. Send through an SMTP email delivery server
  3. Send to a web-service (HTTPs)
  4. Attach and store a DDP with the corresponding Salesforce record or object
  5. Stream a DDP with any Salesforce Chatter message
  6. Route a DDP to third-party services:
    • eSignature services to capture a legally binding signature
    • Document management for storage or routing
    • Storage services when additional space is required due to size limitations
  7. Dynamically create & schedule the distribution of a DDP report to a recipient list on a daily, weekly, monthly, quarterly or annual basis
  8. Automate sending via batch to deliver hundreds or thousands of DDPs at once
  9. Allow customers and/or partners to generate DDPs on-demand through a web service or portal
  10. Or, combine one or more of the above in a single user button click!

Document delivery is now just a continuation of your document generation process in Salesforce vs. a disjointed task.

If there is one theme we hope we’ve conveyed in this blog series, it’s this – the time investment to set up a fully automated document process in Salesforce pays off exponentially in the amount of time saved hunting for data, creating and editing documents and manually delivering them. And if you ask any person in any organization, time is their most valuable resource.

So let’s stop wasting time and chat! Contact us today to set up a demo of Drawloop LOOP Document Services or better yet, start your very own FREE 30-day trial. It’s worth the time!

Part two of our latest blog series: “Any Data. Any Document. Any Delivery.”

Blog Post copyTake a glance at your computer’s task bar? How many documents are currently open on your desktop? 5? 10? 20?

Now think about how many minutes/hours you’ve spent this past week editing those documents – time you’ll never get back. And time you probably would have rather spent selling, servicing or doing your “real” job.

In part one of our blog series, we addressed data and discussed how Salesforce customers have not only transformed how they manage and maintain data, but also how you can leverage this data and merge it into any document via Drawloop.

So what documents are we talking about? Well pretty much any document your organization utilizes whether it’s internal or customer facing. And like your data, these documents sit entirely within Salesforce, which saves time, ensures document accuracy and increases CRM adoption.

While there are many documents, most fall into three main categories:

Customer Facing Documents
Customer facing documents are a double-edged sword. They are the very documents you need to create to close one deal. And at the same time, they are the very documents that distract you from closing another deal. Add in the “legal review” component and you’ve just exponentially compounded the complexity. At Drawloop, our goal is to have you spend as little time as possible generating these revenue-rich documents so you can spend as much time as possible closing them.

  • Quotes
  • Contracts
  • Proposals
  • RFP
  • NDA
  • MSA
  • Order
  • EULA
  • RFQ

Internal Business Documents
By our accounts, reports are the single document type that frustrates managers the most. Unlike customer facing documents, creating a report does nothing directly for your bottom line. But indirectly it can make or break your bottom line. Miss data, pull in the wrong data or compute either incorrectly, and your team’s forecast or compensation could be completely wrong. Not to mention the hours it takes on Sunday night to produce it. (Who doesn’t wait til the last minute to create these?). With Drawloop, you can now produce reports with a literal click of a button in Salesforce, dynamically pull and merge the correct data into your report template to generate a DDP.

  • QBRs
  • Commission Reports
  • Pipeline Reports
  • Financial Forecasting
  • Inventory Reports
  • Activity Logs

Consumption Documents
Like internal reports, consumption documents are a necessary but often time-consuming piece of running most businesses. And in addition to being used internally, they are a crucial part of communicating activity, product updates and even revenue reporting to partners. With Drawloop, you can both either produce these reports with a click of a button or even schedule generating and sending them on a consistent basis.

  • Account Plans
  • Applications
  • Activity Reports
  • Channel Distribution Reviews
  • Consumption Reports

To read more about these document types, download our short datasheet, The Drawloop Strike Zone. Next week we’ll discuss part three of our seriesdelivery – and the comprehensive ways your organization can send DDPs.

Today “work smarter, not harder” is a theme across many organizations. We couldn’t agree more. Salesforce is leading the way with their recently announced Customer Success Platform, which allows you to consolidate data on a single platform and connect with customers through sales, customer service, marketing, communities, apps, and now analytics.

While there are many ways to connect with customers, documents are a common theme across almost any organization. Whether it’s sending a sales quote, fulfilling a customer service request, producing a QBR or reviewing the latest sales analytics data, each requires documentation and/or seeing that information.

To work smarter, not harder, Drawloop’s document generation solution consolidates your entire document process – data, documents and delivery – entirely in Salesforce. Our LOOP Document Services take what was once a task executed from an individual’s desktop, and transforms your document process into an automated service that is replicated across your entire organization.

Data, documents and delivery are the three essential components of any document generation process in Salesforce, and today, we’ll start with the most complex piece of the process – data.

Data
Data gives life to business documents. Drawloop’s LOOP Document Service takes any data relevant and specific to your customer and automatically merges it into any document(s).

Salesforce Data
Drawloop utilizes any type of data in Salesforce or integrated with Salesforce:
  • Standard Objects – Drawloop works with all standard Salesforce objects, in any combination and any field type.
  • Custom Objects – Drawloop also works with Salesforce custom objects in the exact same manner as standard objects.
  • Salesforce Reports – Drawloop allows you to utilize any Salesforce report(s) or its data including leveraging thousands of rows of data. Reports can also be included when you run a DDP as part of an Excel analysis.
  • Force.com – Drawloop partners and works with many Force.com apps and enhances these apps by adding document generation.

Apex
Drawloop allows you to also use Apex to pull in your Salesforce data:
  • Restructured Data – Drawloop works with Apex restructured data to provide unlimited customization including programmatically changing your data model, converting a complex data model into a streamlined model for document merge and/or combining multiple objects into one.
  • Apex Calculations – Drawloop works with Apex calculations expanding Salesforce formulas as well as Excel as Middleware to perform complex analysis of data for custom calculations, combining the power of Apex and Excel to make cross object calculations extremely flexible.
  • Aggregate Data – Use Apex to summarize your Salesforce data in order to achieve time-sensitive statistics based on any Salesforce data, simplify the data structure merged into your documents and extend simple math to enable any summary calculations.

External Data
Drawloop makes “any data” a reality by allowing you to pull in external data:
  • Legacy System Data – Connect to your legacy system and bridge deployment gaps by dynamically merging Salesforce and legacy data into your document packages.
  • Third-Party Data – Save time and money by bringing any data into your documents – financial, products, consumer reports – via robust API connections.
  • Any Database – Combine data from Oracle, Microsoft, NetSuite or any other database with your Salesforce data for powerful document generation in the cloud.

Next week we’ll talk about how Drawloop can automate the generation of Any Document as part of your organization’s automated business process.

QBR Account PlanEvery day our team talks to both prospects and customers about documents and their challenges in generating them. The list is endless, but here are some of the most common pains across organizations:

  • Recreate the wheel every time a document is created
  • Most updated data is in the document, not the CRM
  • No control over document templates or content
  • Inconsistent representation of company or corporate branding
  • Errors due to manual editing
  • Too many resources dedicated to document management or review
  • Exponential number of document versions
  • Lack of consistency in both documents and data across the organization
  • Multiple document attachments and or/ multiple emails
  • No mobile access to documents
  • Legal exposure of documents on desktops
  • Non-compliant documents are distributed

In our experience, these challenges can be boiled down to one reason – companies today still look at documents as an individual task vs. an automated service.

In today’s technology-centric world, there is no longer a need for an individual to touch and edit documents. And if you utilize Salesforce or another third party solution for your data, you’re already halfway there. The most current and accurate data should not be stored in old documents – it should be stored in databases like Salesforce.

The same should be true for creating your documents. Document templates comprised of multiple document types should never sit on your desktop again. Instead, they should be pre-loaded on Salesforce and dynamically merged with Salesforce data, along with any third party data, reflecting the most up-to-date information in Salesforce. You can pre-define business rules, workflows, and administrative controls for all of your dynamic document packages (DDPs). And just like your data, this establishes a consistent process across your organization to deliver document accuracy and increased efficiency.

Your sales operations and support teams already have to manage your organization’s documents. Wouldn’t they rather touch them once and be confident that everyone is using the most up-to-date and compliant information?

And can you imagine the feedback from your end users when they discover that generating a document goes from a hunt across their desktop for documents and data to a simple button-click in Salesforce?

It’s time for document generation to go from an administrative task to an elegant service – we can get you there in minutes! All you need is your documents and Salesforce.
