Unfortunately, the result of this bug causes some of the newer versions of LOOP (versions 5.5.0 – 5.8.4.6) to return a blank page instead of the normal LOOPlus DDP selection page (or will not auto run if it is enabled on your button). Currently, this bug is limited to Salesforce sandboxes that have been upgraded to Spring ’12. However, the Spring update is scheduled for this weekend. Any accounts experiencing this issue will need to upgrade with the patch now available on the AppExchange that includes a work-around for this bug.

This is a powerful new delivery option for DDPs highlighting yet another value add when businesses combine our dynamic document creation service with Salesforce and Box.

How does a Salesforce user send the DDP with a Box Share Link?

The user simply clicks a button from any Object, selects the DDP to run and then he/she will automatically go to a Salesforce email template with a Box Share Link in the email text rather than having the DDP attached to the email.

Benefits of Box Share Link DDP delivery include:

Control how your customer or prospective customer views the DDP (document package)

Allows you to control and monitor all DDP views

Automatically creates a dynamic document package (e.g. Sales Quote) and sends an email from Salesforce with the Box Share Link placed directly into your Salesforce email template

Allows you to send larger DDP file sizes via email as you are not limited to Salesforce email attachment constraints

Automatically stores the DDP within a Box folder allowing you to leverage all of Box’s features

Here at Drawloop, we see the value of Salesforce.com Visualforce pages. This is why we added the ability to use Visualforce pages as a “document” within any Dynamic Document Package (DDP). Even with this integration, some prospective customers and Salesforce integrators will still ask “how is using Drawloop different than using a Visualforce page.” We wanted to share our answer to this question . . . Drawloop is both a compliment and an alternative to Visualforce pages.

Drawloop as a Compliment to Visualforce Pages

Since 2010, our customers have been able to use any Visualforce page as part of their Dynamic Document Package (DDP). The DDP simply treats the Visualforce page like any other document. With this capability, the DDP Admin can build document packages using any combination of template documents to make up the final DDP — a Visualforce page can be required, optional or included in the final DDP with advanced logic referencing Salesforce field values.

A common use case is when a company wants to include a cover letter with a Visualforce page and/or needs to include T&Cs (Word doc) with a Visualforce quote. With DDPs, it’s an easy drag and drop of the various documents to include before or after the Visualforce page. This integration provides you with maximum flexibility around all of your dynamic document creation.

Drawloop as an Alternative to Visualforce Pages

We have also seen customers look to Drawloop as an alternative to Visualforce pages. As requirements become more complex and customization is needed, the power of leveraging DDPs with a Word, Excel and/or PowerPoint template can provide a more cost-effective solution. Visualforce pages will often become difficult to manage around headers, footers, and customizations required for different products, channels or regions.

For example, a company needs flexibility on their quote to customize per channel and has merge requirements that often run the PDF document beyond one page where formatting needs create a programming challenge and/or lack of professionalism in the resulting Visualforce page PDF document. Drawloop’s merge capabilities to any combination of Word, Excel and PowerPoint often eliminate the need for Visualforce programming and, instead, leverage native functionality that exists in the template document itself.

Please contact us today to learn more about how to use Visualforce pages with DDPs or as an alternative to Visualforce pages.

We know that Dynamic Document Packages, or DDPs, have helped our clients generate and deliver documents they use every day. Companies across the world are using our services to automate their contracts, letters, quotes, servicing documents, proposals, and much more. Because of the global reach of our services, it has come to our attention that to help empower DDP users of other languages, they should be able to read the instructions provided to run a DDP. That is why, in the latest release of LOOP Document Services (version 5.5 on the AppExchange) we have provided administrators the ability to translate many text elements displayed when running a DDP.

To get started translating your DDP run page, you will need to enable your organization’s translation workbench and start adding languages (Salesforce Setup – Administration Setup – Translation Workbench – Translation Settings). All of the DDP run options that can be translated are in Setup – App Setup – Create – Custom Labels. Click on the linked Name of any item you want to translate, then click New Local Translations / Overrides.

Due to some exciting new customer deployments, we wanted to share again how you can use Excel as middleware when running dynamic document packages (DDPs) within Salesforce. It is often the case that companies have “legacy” Excel files with complicated calculations and intellectual capital wrapped around business rules. Or, have a need to incorporate complicated calculations when running a DDP and don’t want (or have the expertise) to replicate all of the formulas within Salesforce.

With LOOP Document Services, you can leverage Excel as middleware to run dynamic calculations at run time. Picture an Excel file that gives you a series of calculated numbers (or text values) in cells B20, C20 and D20. You can have the calculated numbers dynamically merged from cells B20, C20 and D20 in your Excel file to a Quote summary (.doc or .ppt) file.

Some examples include:

1) Use Excel for Internal Pricing Calcs

Perhaps you need to run a DDP for internal purposes that provides management with profit margins and other internal pricing metrics based on Sales Quotes generated by all of the sales reps. All of the confidential pricing metrics are calculated in an Excel file at DDP run time (never exposed to anyone) and merged to an internal Pricing Summary for management.

2) Use Excel for Complicated Formulas

A financial institution provides DDPs to financial service representatives to run analytics for customers. The financial institution uses a combination of Salesforce values and Excel calculations to generate the Customer Profile Summary. The Excel file contains calculations and metrics to take in assumption data from Salesforce and then run all of the required calculations in Excel.

Please contact us today to schedule a time to learn more about how your organization can leverage our document service using Excel as middleware.

One of our favorite DDP Admins, Dave Benton at Austin Ventures, has recently deployed a powerful “Send to Box.net” DDP delivery option. Another example of the creativity we see from our customers and the power of connecting cloud services (Salesforce + Drawloop + Box).

Business Requirement:

Dave needed to dynamically create his “Weekly Deal Summary” spreadsheet using data from Salesforce.com for all of the stakeholders at Austin Ventures. Many of the stakeholders are mobile and need to access the Weekly Deal Summary from a mobile device (smart phone / iPad). In order to track the history and provide easy “download and view” capabilities, Dave wanted to have the spreadsheet stored on Salesforce and on Box.net.

Solution:

Dave created “Send to Box Folder” as a new DDP Delivery Option.

By leveraging our “Send to Box” integration for DDPs within Salesforce, Dave was able to automate (i) the dynamic creation of his Weekly Deal Summary and (ii) the automatic storage of the document on Box.net where all of the stakeholders can view the document at anytime.

Nice work Dave and a very creative new use case for our Box integration within Salesforce!

Administrative Steps to Create “Send to Box Folder”:

DDP Steps:

1) Add a New Delivery Option

Select “Email” delivery option and name it “Send to Box Folder”

2) Check to email the DDP to “Internal Email” which will enable the DDP creation via Salesforce email without the need for a Contact at run time (you can run from a button click or Salesforce workflow)

3) Copy and paste the Box Folder email address into the “Additional To” field

Box Steps:

1) Create a new Box folder or go to an existing Folder

2) Click Folder Options and select “Folder Properties | Advanced Properties”

3) Click on “Email Options” and the select “Allow uploads to this folder via email”

Now, you are ready to get the unique Box Folder email address. To get the address, go to “Folder Properties” and then select the “General” tab. You will see the Folder Email Address at the bottom.

We wanted to share a recent customer review where Drawloop was able to help maximize limited resources at a non-profit. By deploying LOOP Document Services, the non-profit was able to completely automate its time consuming document process around receipts and donations. The power of automating document creation is huge when complemented with Salesforce workflows and triggers!

Automated Our Donation Acknowledgement Process
by Alan Corcoran

“I’m a volunteer with a non-profit organization and we have to send paper based receipts as well as “thank you’s” for all donations we receive. Even with an enhanced non-profit version of Salesforce, we could only partially automate this process. With the Drawloop DDP concept plus some excellent tips from the Drawloop team, I was able to completely automate the generation, population, attachment and queueing of the Donation Acknowledgement package, saving us time and eliminating the need for generating “task” reminders and additional manual steps. Drawloop gives us more time to focus on fundraising and the arts, reduces Inbox overload, allows us to schedule and delegate printing and helps make sure we don’t forget to send our donors a “Thank-you”, as well as their tax documents.”
