Part three of our latest blog series, “Any Data. Any Document. Any Delivery.”

ddp email blogIt’s been two long hours but you’ve finally finished manually editing and creating the documents needed for your customer. Now comes the easy part – sending them – or so you thought. It’s only a half a dozen documents in various formats and various sizes. How long could it take to upload, attach, store and send them? More importantly, how confident are you that your customer will receive them?

Document delivery is often an after-thought. Yet at the end of it all, you could say it’s one of the most important pieces of a document generation process. What’s the point of going through the work of finding the data and creating the documents if you are either unable to send them or unsure if the recipient is going to receive them? Also, how often do you forget the proper business workflow required during and after your document is created?

Your document process should not be handcuffed by a limited number of delivery options. You should be able to send documents in a way that not only satisfies your company’s business workflow requirements but that of your customers and partners. A document generation process contained entirely in Salesforce does this and more.

As a refresher, delivering documents via Drawloop is exponentially easier because of one thing – a DDP (Dynamic Document Package). A DDP is the end deliverable, which can contain one document, five documents or even 50 documents that are collated into a single “package.” No more multiple attachments, exponential file sizes or file types.   7. Dynamically create & schedule the distribution of a DDP report to a recipient list on a daily, weekly, monthly, quarterly or annual basis
  8. Automate sending via batch to deliver hundreds or thousands of DDPs at once
  9. Allow customers and/or partners to generate DDPs on-demand through a web service or portal
  10. Or, combine one or more of the above in a single user button click!

Document delivery is now just a continuation of your document generation process in Salesforce vs. a disjointed task.

Just the other day, one of our account executives received a phone call from a consultant at one of the largest technology services consulting firms in the country. His question, “do we provide document management services?” The answer is ‘no’, we redefine and work with traditional document management services.

This wasn’t the first (or probably last) time we’ve been asked this question, and given it came from someone you would expect to understand the difference, we thought we’d clarify.

First thing to clarify – document generation and document management are not competing products. They are complementary. In fact, the way we describe it at Drawloop is that our document generation service receives and feeds document management services. In other words, LOOP Document Services generates a document package that can include documents and then deliver the created document to a document management platform for storage and/or routing.

Second difference – Document generation is PROCESS-BASED. With document generation, your company defines an automated process and workflow that, with a click of a button or programmatically, merges data and document templates into a complete document package. Document management, however, is STORAGE-BASED. Document management is a designated location where your users can store, access, and download documents. In fact, Drawloop partners with document management services like Box, Amazon S3, and SpringCM where their document management services become delivery and storage options for Dynamic Document Packages (DDPs).

Lastly – With document generation, your end users never touch the original template documents. We repeat, never. Because document generation is an automated process, an end user simply selects from a drop-down menu the DDP applicable to their needs, and the document package is created with all of the required merge data and is often combined to a single PDF for delivery. This means documents no longer sit on a user’s desktop, eliminating users manually editing or “customizing” the original documents and possibly making errors or changing brand templates. This also creates an environment to ensure accurate data and 100% user adoption for your Salesforce deployment.

With document management, users can at any time download a document, modify, and edit it. Yes, there are user controls and access rules that you can create, but at the end of the day, any user can download a document and modify it to their specifications. Drawloop does not replace a document management solution. Our customers revolutionize their approach to document creation by deploying a service to automate all document creation. This provides a solution for enterprise organizations to leverage document management while introducing document generation as a service to all of its enterprise users.

Salesforce1 DDP ActionAfter only a few weeks being live with Salesforce1 on the AppExchange, our customers are already bringing dynamic document packages (DDPs) to their mobile devices. The best news . . . they didn’t have to do anything! You manage and build your DDPs in the exact same way. DDPs are available to run on Salesforce1 – your iPad, iPhone, Android device, and other mobile devices supported by Salesforce1.

How is this possible? It’s the power of the Salesforce1 Platform which allows us to deliver document generation in a new social and mobile way to any device. You can now add “Run DDP” as an Action for any object for your Salesforce1 deployment. This new DDP action empowers all of your users to deliver dynamic document generation right from their mobile device.

Salesforce1 Run DDPThe Run DDP action in Salesforce1 will bring up any authorized DDP to the user, allow them to select the package, any optional documents, and then how they want to deliver the DDP.

Here are some examples of what’s possible on your mobile device through Salesforce1:

  • Sales: Quotes, Proposals, Contracts, Account Plans
  • Management: Quarterly Business Reviews, Pipeline Reviews, Account Plans
  • Finance: Invoices, Forecasts, Quote Metrics
