Database & Mobile Expert to be Salesforce Administrator & Analyst

Irvine, CA – May 6, 2015 – Drawloop Technologies, the document generation app for Salesforce, today announced that Jennifer Wobser has joined the company as Salesforce Administrator & Analyst.   Mrs. Wobser is a well-known expert and evangelist within the Salesforce community and was awarded Salesforce MVP of the year in 2014.   Jennifer will be responsible for the design, implementation and management of Drawloop’s Salesforce org, and as well as a valuable resource for consulting customers on their own org structure.

Jennifer Wobser and Marc Benioff at Dreamforce ’14

“Jennifer is a critical addition to our team given that we run our entire business on Salesforce,” said Jim Roberson, COO of Drawloop. “Her reputation in the Salesforce community is impeccable, and her expertise will be invaluable to both our company and our customers.”

Jennifer’s Salesforce legacy goes back to 2003 when her employer, FFF Enterprises, handpicked her to select their CRM solution. After a one and a half year bake-off, Jennifer selected Salesforce. Not having a community to lean on, Jennifer self-taught herself built her first org and deployed Salesforce to 200 users in 2004. In 2005, she also launched FFF’s first mobile org for Blackberry. All of this got the attention of Salesforce, and she quickly became a speaker and mentor to other administrators. Over the next ten years until her departure from FFF earlier this year, Jennifer continued to solely support upwards of 600 users at FFF, while also earning Salesforce MVP status.

“Joining Drawloop feels like coming home,” said Wobser. “It was important that I work for a company where I could vouch for and believe in the product, and Drawloop’s document generation app is the best on the market. I cannot wait to see what the future holds.”

In her spare time, Jennifer is one of the most highly sought Salesforce MVP speakers where she mentors other Administrators. She has spoken numerous times at Dreamforce and has been working with the Salesforce Admin Evangelism Team over the last year to help create the ‘Admin Zone’ at Salesforce events & at Dreamforce 2015. She also helped build the Arkansas Scholarship Service, a non-profit online scholarship database for incoming college students.

Businessman pressing virtual media type of buttonsCall it the “cobbler’s children having no shoes” or the “carpenter’s house always needing work” but let’s face it – sometimes high tech companies are the last to adopt technology – their own or someone else’s.

And it’s hard to blame them given the extreme growth of the industry and demand for high tech solutions. Sometimes selling and hiring just takes precedence over addressing your own internal needs or processes.

The key to increasing selling productivity and improving new hire efficiency is to reduce administrative tasks. In other words, a minimal investment in technology and streamlining your sales and training document process can exponentially increase the amount of time you have to close new business.

Regardless of size, one solution many high tech companies have invested in is Salesforce. And while adopting Salesforce is a step in the right direction, technology alone does not solve process issues. Sales people must still consistently adopt the technology and comply with internal standards to make it a success. The challenge is enforcing both.

For high tech companies, adding document generation to their Salesforce environment kills two birds with one stone. The first and obvious one is taking the manual task of creating documents on your desktop and automating it entirely in Salesforce.

But adopting document generation also indirectly solves many process issues relative to your Salesforce deployment that can be a struggle when “distracted” by extreme growth:

  • Improving data compliance
  • Increasing Salesforce adoption
  • Consistent branding & training templates across the organization

Here’s how. First document generation requires that all documents are now templates in your Salesforce environment. This gives you complete control over branding. Secondly, data used to generate these document is directly pulled and merged from either Salesforce or a third party source via Salesforce. In other words, if your data is not accurate and up-to-date then neither will your documents.

Here are just a few examples of the domino effect that document generation can have on the high tech industry:

New Hire Training & On-boarding – Growth not only equals growing revenue but it also means a growing team and more people to train. In addition to streamlining your sales process, document generation in Salesforce also creates a consistent training and on-boarding process. New hires are ramped up quickly and they are much more confident in their ability to sell and service knowing that just a click of a button produces the correct documents needed.

Quotes & Proposals – Demand for quotes and proposals is a “nice problem” to have, but for the high tech sales person it also means hours of administrative work. For Salesforce users, utilizing document generation eliminates multiple headaches. The first touching data twice – once to put it in Salesforce and the other to manually copy it into a quote or proposal. Secondly, quotes and proposals are now templates that sit in Salesforce removing the pain of creating them on your desktop. And then lastly, you simply have to click a button to generate and send them vs. create multiple emails with multiple attachments. Net/net – hours gained to spend more time doing what you were hired to do – sell.

Order Forms & Contracts – High tech contracts can be complex and that means one thing – extensive legal review. Document generation minimizes the pain of finalizing order forms and contracts because the integrity of your documents are not changed thereby eliminating the need to create a new one every time an edit is made. For legal, this means less review time, and for sales this means a much faster time to close.

QBRs & Account Plans – Incorrect or incomplete data means inaccurate reporting, which is especially frustrating for any sales executive. But because document generation requires that only Salesforce or third party data via Salesforce is used for generating quotes, proposals and contracts, you can be assured that the resulting reporting will be accurate and up-to-date.

Read how LinkedIn and DocuSign successfully deployed document generation to their sales organizations even in the midst of high growth. Access their case studies here.

Next we address the growing needs of online media companies where sheer volume can overwhelm their organizations.

Part Two of Our Vertical Industry Series

bg000PHARMACEUTICALS

The challenge of innovating while being highly regulated is a pain felt across multiple sectors of the healthcare industry but especially pharmaceuticals. At the same time, consumers are becoming choosier about the medicines they buy due to escalating out-of-pocket costs and drug prices. Both consumers and doctors are demanding documentation to make an informed choice about whether or not to pay for medicine. This has created extreme pressure on the pharmaceutical industry to demonstrate that expensive medications are worth the premium.

Armed with a massive amount of data, the challenge for most pharmaceutical companies is how to pull, present and deliver the information to doctors and consumers in a succinct and efficient manner. While most pharmaceutical companies have adopted systems like the Salesforce Service Cloud to accurately manage and track customer inquiries, responding to these requests expediently continues to be a challenge.

With an automated document generation service in the Salesforce Service Cloud, pharmaceutical companies can easily match and meet customer demand for medical response letters and other important data/documents. The benefits are immediate and impactful:

  • Cut customer response times exponentially
  • Control document content and how service reps communicate with customers
  • Dramatically reduce compliance risks associated with manual processes and exposure of documents on desktops

Here are just a couple of examples:

Medical Response Letter – As a Salesforce Service Cloud user, generating Medical Response Letters is simple and painless. Since all documents are pre-loaded in Salesforce, a customer service rep simply queries the document database based on subject, description or keywords. Once the documents are identified, they are merged with a pre-approved letter template (which can also be customized specific to each request), packaged and sent as a single email attachment.

While users of the Salesforce Service Cloud can currently access documents, you still have to craft an email, attach multiple documents and then manually send out one or multiple emails. This is not only extremely time consuming, but also leaves the pharmaceutical company vulnerable to compliance issues.

Event Audit – Many pharmaceutical companies that either operate or are based in Europe are now required to audit any event held with doctors or other customers. It includes tracking everything from attendees and expenses to contracts and communications.

With an automated document generation process in Salesforce, pharma companies can now automate the process of both inviting customers and tracking the event. For example, you have a doctor in Germany you want to invite but are based in London. You simply query your document template database in Salesforce for the German invite and then with a click of a button send it out. Then, the doctor’s record is automatically updated. Once the event has ended, you can then aggregate all of the data in Salesforce as proof of compliance.

HEALTH INSURANCE PROVIDERS

Health Insurance

Health insurance providers are challenged each year to on-board thousands of new corporate clients. Volume alone makes this a complex problem, but to execute the multiple documents required is a massive time consumer.

Many multi-billion dollar health insurance companies have undertaken a complex and successful deployment of Salesforce, but their sales people are still required to manually extract the data and rekey it into their documents. In addition, many documents are not in Salesforce but located in legacy or another third party system, which requires a virtual “document hunt” for a sales rep to aggregate a proposal.

For those that have implemented document generation, you eliminate touching data twice and hunting down documents, and make an immediate impact on your organization’s productivity.

  • Spend more time to selling and less time on administrative tasks
  • Generate sales document in minutes not hours
  • Customize proposals based on Salesforce or third party data
  • Improve the customer experience
  • Control and maintain brand standards
  • Integrate with eSign for multiple electronic approvals and signatures

Here are just a few examples from the health insurance industry:

Customized Proposals – With document generation in Salesforce, you can now create highly customize proposals in minutes based on any business rule – state, type of customer, type of insurance, type of benefits, etc. This business logic is built into the document template and automatically merges the appropriate data. The documents are then combined into a single package – no matter the type or size – and automatically sent to the corporate client as a single attachment.

Broker Sales Documents – Health insurance providers often work with brokers or clients that then pass the information to prospects. Similar to sending a proposal directly to a corporate client, many health insurance providers utilize document generation to create a customized proposal package that a broker can then pass along to their client. The time to find, create and distribute the documents is now drastically reduced, and the health insurance firm can feel confident that all documents meet their brand standards.

Annual Renewal or Business Certification Form – Rather than managing the process manually, document generation allows health insurance providers to automatically send out renewal contracts to their corporate clients along with required documentation like business certification forms.

Other documents you can generate or pull into a single document package include:

  • Business certification form
  • Collateral
  • Contract
  • Cover letter
  • Excel price list
  • PowerPoint presentation
  • Product or Services overview
  • Proposal
  • Renewal
  • RFI

The latest version of LOOP Document Services has been released on the AppExchange and there are several new features. Read more about these features below.

Any Data

  • Use any image size with new image aspect ratio preservation
How many of us have gotten stuck because we have the wrong image size as compared to the document it needs to go in? Now you have the ability to set up your image placeholder to constrain the dynamically inserted image to a maximum height or width and maintain its aspect ratio.
    image_aspect_ratio
  • Import a CSV/Excel ad hoc file as data for a DDP
External file based data sources can now be added during runtime and the data will automatically be “pushed” into a DDP drastically reducing manually copying/pasting or editing a document
Use Case: Insurance companies often run illustrations with values that need to be included in a DDP – now attach the illustration CSV/Excel file and Drawloop will automatically push the data into your DDP

Any Document

    field_tagger

  • DDP Field Tagger task pane app for Microsoft Office 365 desktop & online versions – Drawloop admins can now tag document templates entirely within Microsoft Office applications (Word, Excel, PowerPoint) eliminating the need for having multiple browser windows open.

  • New support for filling data into CSV and text files – You can now use DDPs to dynamically generate a CSV or text file with data populated from any DDP data source. This is especially powerful when the generated CSV or text file needs to be delivered to an external service for additional processing.

  • Support for Veeva Vault document URLs in Documents and Content for DDP Files – Include your Veeva Vault documents directly in DDPs by referencing the appropriate Vault URL in a Salesforce Document or Content file.

Any Delivery

  • Send DDP generated files to Veeva Vault
Allow your DDP users to dynamically create new content for your Veeva Vault solution. This allows customers to more easily tie their Vault processes with new user generated content.

Contact us today to see how your organization can benefit from these new features.

Documents may be a universal truth across organizations, but we also know that every industry has unique document requirements or use cases specific to their needs.

In our latest blog series, we highlight the document needs of individual industries and how even the most complicated or unique use case can be automated with document generation in Salesforce.

We start with financial services.

Financial-Services

The financial services industry is at a crossroads. After years of shunning cloud solutions, they are being adopted at a rapid pace. Not only are firms finally comfortable that these solutions meet security and compliance needs, but cloud solutions often have differentiating features that can set your firm apart from the competition. A challenge felt for many financial firms across the industry.

Financial firms have always had an abundance of data whether its customer or performance-specific. The challenge has been managing the volume and presenting it in an intuitive and user-friendly way that doesn’t take hours if not days to produce.

salesforce-logo-250x172

While Salesforce is being adopted industry-wide to manage data, many firms are still challenged with getting that data into documents. Whether you generate or receive them, the financial services industry is inundated with either manually creating or shuffling paper documents.

Enter document generation. As detailed as your data, analysis requirements or investment complexity, automated document generation meets your document requirements. Automated document generation not only addresses the internal needs of your company, but also improves customer interactions.

  • Increase operational efficiency by reducing the amount of time it takes to create documents from hours to literally minutes
  • Improve customer engagement by creating documents customized to their specific needs and requirements
  • Mitigate privacy and security concerns by securely sending or storing documents
  • Consistently reinforce your company’s brand and reputation by controlling document templates and content
  • Develop innovative and compelling documents that add value to the decision-making process

Some examples:

Tear Sheets – Now instead of creating these individually (and there can be hundreds!), a document generation app automatically merges Salesforce or any other financial services database with a document template to create tear sheets specific to an investment. You can then automate the distribution of these en masses to your clients.

Capital Call Letters – While these are also produced in volume, its important that a capital call letter is personalized and unique to each investor. To further the complexities, the same investor will also own investments in different entities, e.g. a trust, a partnership. With a document generation app, you are able to address both needs but reduce the time it takes to produce them from hours if not days, to minutes.

Presentations – Presentations are a vital daily need for financial firm representatives as they service prospective and existing clients. A document generation app integrated with your data allows your reps to create a tailored presentation that only includes product information specific to that client. Your firm maintains a consistent brand and message while your rep has spent only minutes vs. hours building the deck.

Investor Activity Report or Participant Statements – Whether it’s a quarterly, annual or on-demand, financial firms are required to provide updates on a client’s portfolio, capital, investment or fund performance. This typically includes the initial investment amount, the current account balance, interest earned and portfolio diversification.  Instead of consolidating this data manually, a document generation app can pull the appropriate investment information specific to each client and automatically update him or her on performance and other analytics.

Again, if it’s a document you are required to create, a document generation app integrated with Salesforce or any other database can automate the process. Other examples include:

Next we will look at the unique needs of the healthcare industry and how document generation has transformed their business in spite of strict compliance and HIPPA guidelines.

In the spirit of tomorrow’s holiday, we thought we’d spread some love to a group that sometimes doesn’t hear it as much as they should – each other.

It’s easy to take for granted the people you work with especially if they are as awesome as the Drawloop crew. Let’s just say we work hard and play hard – and do both exceedingly well.

So what makes working at Drawloop so fabulous? Here are some quotes from our very own:

  • “You never hear someone say that it’s not my job even if it isn’t.”
  • “Every department collaborates well together.”
  • “We actually listen to customers and let them drive our product development. It’s really cool to see this in action.”
  • “I appreciate working with a group dedicated to making great products and that refuses to rest until our customers are happy.”
  • “I love that I work with nerds.” – from a fellow nerd

In part one of our blog post, we discussed how an automated document process in Salesforce improves more than just document generation. Any individual in any organization is directly impacted simply by the drastic reduction – from hours to minutes – in the amount of time spent creating a document. But for an entire organization, the indirect benefits are numerous. We named four in our first post:

  1. Improved data accuracy
  2. Increased data compliance and Salesforce adoption
  3. Reduced resources dedicated to documents
  4. Reduced training and time to ramp up new team members

But it doesn’t stop there. There are four additional benefits to organizations that have deployed document generation in Salesforce. We discuss them below.

Protect sensitive data
Many documents distributed internally or externally contain sensitive data – pricing, financial, sales results, customer consumption data, etc. An automated document process in Salesforce limits data exposure on an individual’s desktop and protects it from accidently landing in the hands of the wrong party. Now both your data and documents sit together in a single repository, and you can control permissions and delivery of the data.

Reduce the number of documents managed
With an automated document generation process in Salesforce, you control document versions and content, which limit the total number of documents created by individuals across an organization. Meritage Homes knows first hand the impact of deploying Drawloop – they reduced the total number of documents used to create a new home contract from 1,200 to 125. Read their case study here.

Consistent branding
Whether a 20 or 10,000 person company, presenting a consistent brand both in voice and visually is important. Now you have control of not only document content, but also of document templates ensuring that each individual across any organization represents the company with the same color scheme, logos and graphics.

Create a repeatable business service
Perhaps the most important benefit of an automated document process in Salesforce is that a tedious individual task is now transformed into a repeatable business service for your entire organization. Every single person whether they started yesterday or have been with the company for years will have access to the same data, documents and process to merge and generate a document package in the flow of your business.
