Just the other day, one of our account executives received a phone call from a consultant at one of the largest technology services consulting firms in the country. His question, “do we provide document management services?” The answer is ‘no’, we redefine and work with traditional document management services.

This wasn’t the first (or probably last) time we’ve been asked this question, and given it came from someone you would expect to understand the difference, we thought we’d clarify.

First thing to clarify – document generation and document management are not competing products. They are complementary. In fact, the way we describe it at Drawloop is that our document generation service receives and feeds document management services. In other words, LOOP Document Services generates a document package that can include documents and then deliver the created document to a document management platform for storage and/or routing.

Second difference – Document generation is PROCESS-BASED. With document generation, your company defines an automated process and workflow that, with a click of a button or programmatically, merges data and document templates into a complete document package. Document management, however, is STORAGE-BASED. Document management is a designated location where your users can store, access, and download documents. In fact, Drawloop partners with document management services like Box, Amazon S3, and SpringCM where their document management services become delivery and storage options for Dynamic Document Packages (DDPs).

Lastly – With document generation, your end users never touch the original template documents. We repeat, never. Because document generation is an automated process, an end user simply selects from a drop-down menu the DDP applicable to their needs, and the document package is created with all of the required merge data and is often combined to a single PDF for delivery. This means documents no longer sit on a user’s desktop, eliminating users manually editing or “customizing” the original documents and possibly making errors or changing brand templates. This also creates an environment to ensure accurate data and 100% user adoption for your Salesforce deployment.

With document management, users can at any time download a document, modify, and edit it. Yes, there are user controls and access rules that you can create, but at the end of the day, any user can download a document and modify it to their specifications. Drawloop does not replace a document management solution. Our customers revolutionize their approach to document creation by deploying a service to automate all document creation. This provides a solution for enterprise organizations to leverage document management while introducing document generation as a service to all of its enterprise users.

    As a partner of Salesforce, we are pleased to offer Salesforce1 integration for Dynamic Document Packages (DDPs). You can now add “Run DDP” as an Action for your Salesforce1 deployment. This new DDP action empowers all of your users to deliver dynamic document generation right from their mobile device.

  • Pause To Edit with Salesforce Files Sync

    Our “Pause to Edit” feature has continued to grow for many of our enterprise deployments. The common requirement is to expose one or more documents for additional edits prior to completing the delivery of the DDP and associated actions like Post to Chatter or Send to e-Sign.

    • Problem:

      The current solution allows a user to download a file to his/her desktop or downloads folder, which exposes compliance concerns around two key areas: (1) uploading the wrong file to complete the DDP run process and (2) keeping a version of the file on the users desktop.

    • Solution:

      A new option for the Pause To Edit feature within DDPs takes advantage of the unique functionality of Salesforce Files Sync. Since Salesforce Files can sync to a local folder on the user’s computer, Pause to Edit can now use this process to temporarily save the template document on the user’s machine in a specific, cloud connected folder. After edits are made by the user, the new file is synced to Salesforce Files, taken by the DDP, and used to complete the document generation process. For increased security and reduced clutter, the temporary file is automatically deleted from the user’s machine, instead residing inside of Salesforce as part of the completed DDP.

  • External Data Source

    You asked and we delivered! One of the most powerful new capabilities of this release is the ability to use external data within a DDP. No longer are you limited to only Salesforce data. You can now merge Salesforce data and external data real-time when you run a DDP. Many of our enterprise customers have data in other ancillary or legacy systems creating a use case where they want to generate the document package from within Salesforce but need to also include critical external data in the DDP to be delivered.

    New components to our packaged API make all of this possible.  Please contact us today to schedule a time to learn how your enterprise can take advantage of using external data within your DDPs.

  • SMTP Delivery Options

    Delivering individual emails or emails in mass to an SMTP server or a 3rd party SMTP service is a valuable enhancement to our email delivery options. We have enhanced our existing SMTP options to allow you to:

    • use a dynamic sender name and email address,
    • use Salesforce Email Templates with your SMTP delivery,
    • and allow your users to use a rich text (WYSIWYG) editor for modifying HTML emails before sending.

  • SignNow Integration

    SignNow by Barracuda is a new DDP delivery option that provides SignNow customers with the ability to use their e-sign service from a DDP.  Template documents — the core document elements of a DDP — can now include SignNow tags to control signature, date, and other required e-sign fields.

This adversarial relationship between legal and sales is unfortunately all too common. Creating a contract falls on sales’ shoulders but legal is ultimately responsible for its accuracy and enforceability.

Let’s face it – it’s open season on any document that sits on a desktop but especially contracts. It’s not like sales is purposely trying to frustrate legal; they’re just trying to close a deal.
