  • SalesForce1

As a partner of Salesforce, we are pleased to offer Salesforce1 integration for Dynamic Document Packages (DDPs). You can now add “Run DDP” as an Action for your Salesforce1 deployment. This new DDP action empowers all of your users to deliver dynamic document generation right from their mobile device.

  • Pause To Edit with Salesforce Files Sync

Our “Pause to Edit” feature has continued to grow for many of our enterprise deployments. The common requirement is to expose one or more documents for additional edits prior to completing the delivery of the DDP and associated actions like Post to Chatter or Send to e-Sign.

    • Problem:

The current solution allows a user to download a file to his/her desktop or downloads folder, which exposes compliance concerns around two key areas: (1) uploading the wrong file to complete the DDP run process and (2) keeping a version of the file on the users desktop.

    • Solution:

A new option for the Pause To Edit feature within DDPs takes advantage of the unique functionality of Salesforce Files Sync. Since Salesforce Files can sync to a local folder on the user’s computer, Pause to Edit can now use this process to temporarily save the template document on the user’s machine in a specific, cloud connected folder. After edits are made by the user, the new file is synced to Salesforce Files, taken by the DDP, and used to complete the document generation process. For increased security and reduced clutter, the temporary file is automatically deleted from the user’s machine, instead residing inside of Salesforce as part of the completed DDP.

  • External Data Source
    web-data

You asked and we delivered! One of the most powerful new capabilities of this release is the ability to use external data within a DDP. No longer are you limited to only Salesforce data. You can now merge Salesforce data and external data real-time when you run a DDP. Many of our enterprise customers have data in other ancillary or legacy systems creating a use case where they want to generate the document package from within Salesforce but need to also include critical external data in the DDP to be delivered.

New components to our packaged API make all of this possible.  Please contact us today to schedule a time to learn how your enterprise can take advantage of using external data within your DDPs.

  • SMTP Delivery Options

Delivering individual emails or emails in mass to an SMTP server or a 3rd party SMTP service is a valuable enhancement to our email delivery options. We have enhanced our existing SMTP options to allow you to:

    • use a dynamic sender name and email address,
    • use Salesforce Email Templates with your SMTP delivery,
    • and allow your users to use a rich text (WYSIWYG) editor for modifying HTML emails before sending.

    smtp_email_editor

  • SignNow Integration

SignNow by Barracuda is a new DDP delivery option that provides SignNow customers with the ability to use their e-sign service from a DDP.  Template documents — the core document elements of a DDP — can now include SignNow tags to control signature, date, and other required e-sign fields.

In addition to tags, you can also control the business rules around the required routing order for signers.  You can learn more about the SignNow service on their AppExchange listing.

    signnow signing

  • Sertifi Payment Support
    sertifi_payment

We have expanded our integration with Sertifi to accommodate several of our enterprise customers who utilize Sertifi’s payment solution as part of their DDP e-sign delivery. The name, amount, description, and frequency of the payment can all be specified dynamically.

Entrepreneur & Business Process Expert to Focus on Salesforce SI & Partner Relations

We are pleased to have Paul join our amazing team!

Irvine, CA – June 16, 2014 - Drawloop Technologies, the document generation app for Salesforce, today announced that Paul D. Tunison has joined the company as vice president of business development. Paul brings a wealth of experience with both Salesforce and document automation having both assisted enterprise companies with their Salesforce implementation, as well as founded two companies with the purpose of automating complex document processes. Tunison will be responsible for further extending Drawloop’s relationships with Salesforce system integrators, Salesforce MVPs, as well as key internal Salesforce partners.

“Paul has a natural ability to recognize business process gaps, identify technology solutions and then marry both to drive efficiencies and value,” said Todd Mezrah, CEO of Drawloop. “This will be extremely valuable as he works with our partners to help their prospects and customers maximize their investments in Salesforce and Drawloop.”

Prior to Drawloop, Tunison was co-founder of two different companies, both utilizing Salesforce and Drawloop to automate complex business processes. The first focused on researching and collecting unclaimed funds. With over 10,000 clients, they relied heavily on Salesforce and Drawloop to manage their database and automate their document process. The second company also leveraged Salesforce and Drawloop to automate the civil litigation document process, which included paperless file management, dynamic case assignment and eSignature services. Tunison has also served as an independent consultant to multiple enterprises, helping them streamline their CRM and document process.

“It’s exciting to join the Drawloop team and be a part of a company who’s technology I literally built my businesses around,” said Tunison. “I’ve experienced first-hand the value of Drawloop’s document generation solution and look forward to working with our partners and their customers to improve their Salesforce processes.”

About Drawloop
Drawloop’s cloud–based document applications replace the manual process of creating, managing and distributing documents by automating the process entirely in Salesforce. Drawloop uses your existing sales and service documents – proposals, contracts, invoices, license agreements, marketing materials, account plan summaries, customer support documents – and dynamically merges them with Salesforce data to create a Dynamic Document Package (DDP). Drawloop not only improves document accuracy, but also creates a repeatable and scalable process that improves overall productivity and efficiency. It’s one thing to adopt and deploy Salesforce. It’s another thing to be responsible for your organization utilizing it and realizing the value invested. Welcome to the world of Sales Ops.

Sales OperationsThere might not be a more challenging position in a sales organization than that of Sales Operations or Administrator. While you hold a technical position, your job also involves selling. Not selling in the traditional sense, but selling Salesforce and the supporting processes internally in order to get buy-in and adoption. The challenge, however, is that outside of the technology itself, you control very little especially as it pertains to process adherence. And it’s one thing to get your sales executives to buy into the “driving efficiencies and productivity” pitch. It’s another to get salespeople, the last group that wants to be told how to do their job, to adopt Salesforce and the supporting processes. So much of the success of your organization and even the company depends on the sales organization adhering to the processes and utilizing the technology in the parameters defined.

But once you sell the technology internally, your real job starts. Managing the technology. And just like the sales users, the technology should be just as easy for you to manage and provide the same efficiency and productivity drivers. That’s the value of Drawloop.

Not only does Drawloop’s LOOP Document Services make generating a Dynamic Document Package (DDP) as easy as clicking a button in Salesforce, but it also removes so many of the headaches those in Sales Ops or Administration deal with daily. Because Drawloop manages every element of the document process entirely in Salesforce, you now have out-of-the-box functionality to:

  • Control of all document package elements from one location including the template document order, DDP name, user security, and DDP delivery options
  • Control document versions, content and formats
  • Control administration and governance of permissions and user access to any document package
  • Integrate document generation with workflow rules, and automatically modify field values or create a new alert, activity or action like a Chatter Post or Task
  • Control and define access to optional content to include based on the DDP or Salesforce data used to create the DDP
  • Schedule the delivery of DDPs based on a workflow or a change in a Salesforce record

And all of this is done without needing IT support or intervention. You have the autonomy to manage the entire process. In the end, your entire sales organization will benefit from deploying Drawloop and having a standardized document process that cuts the amount of resources dedicated to managing documents and at the same time, reduces the time to generate documents from hours to literally minutes. Plus, the time to ramp and train new sales people will be slashed significantly and you’ll be able to get them out in the field and doing what they want to do most – sell.

Lastly when all is said and done, Drawloop indirectly addresses and improves some of the biggest headaches faced by sales executives – adoption, data compliance and process adherence, all because Drawloop is managed entirely in Salesforce and merges Salesforce data with document templates. It’s a win/win for all.

Astadia’s Global Sales Operations Director credits Drawloop’s intuitive wizard and user interface with reducing the amount of time to set up documents from days to minutes and making her job so much easier. Read the Astadia case study to learn more.

That’s it. We’ve covered almost every organization from sales to marketing to ops to legal to finance. In fact, there probably isn’t a single group that doesn’t generate or utilize documents in some form or fashion, which means every organization in your company could benefit from using Drawloop. We’d love to talk to you more about your specific use cases and needs. Contact us to schedule a consultation and to better understand how we can help you improve your team’s productivity.

We can hear it now . . .

“All legal does is slow down my sales cycle and impede my ability to close business.”

“Sales thinks they have the right to change the wording of our contracts, or the terms and conditions whenever they feel like it.”

This adversarial relationship between legal and sales is unfortunately all too common. Creating a contract falls on sales’ shoulders but legal is ultimately responsible for its accuracy and enforceability.

signatureThe source of this tension is not necessarily the people, but the documents and contracts they work with. Let’s face it – it’s open season on any document that sits on a desktop but especially contracts. It’s not like sales is purposely trying to frustrate legal; they’re just trying to close a deal. But then legal has no choice but to review every contract with a fine tooth comb, which is time consuming and just as frustrating for them as it is sales.

Drawloop eliminates the frustration for both groups. With Drawloop’s LOOP Document Services, legal can completely control what contract data and content is editable. Contracts are only created in Salesforce and only Salesforce data can be used to modify the contract. Not only does this improve the time it takes for sales to create contracts, but for legal, it also drastically reduces the amount of time dedicated to reviewing contracts. Other benefits for legal include:

  • Eliminates contract cycle reviews
  • Eliminates the need to dedicate a legal resource to tracking, editing and managing contracts and other docs critical to the business
  • Preserves contract formats and content
  • Limits and/or eliminates contract and other sensitive document exposure on desktops

And because Drawloop integrates with third party eSignature services like DocuSign, the contract is never exposed even after the contract is signed.

But a signature only kicks off the contract being passed along to another group – finance. Finance now must process the contract and set up invoicing. With LOOP Document Services, the receipt of a signature can trigger a workflow to create an invoice and attach it with the counter-signed contract. This streamlines the overall invoice process, and because the contract exposure has been eliminated, reduces the number of invoice versions that finance has to manage.

To learn more, read our case studies on IntraLinks and Meritage Homes and how Drawloop has streamlined the document process between sales, legal and finance.

Next week we’ll address our final organization – sales operations – and how Drawloop helps you maximize the value of Salesforce and improve performance.

meeting200Marketing and Sales. Some compare them to oil and vinegar. While both can mix, it often requires things to be shaken up a bit. Yes, we said it.

But in defense of both groups, we think the tenuous relationship between marketing and sales is often over-exaggerated. As a marketer, you know who your customer is – sales – and want to support them with the appropriate leads, materials and documents to close deals. And most sales organizations appreciate the support.

But like any tenuous relationship, the issue often comes down to one thing – communication. Yes, we’re still talking about sales and marketing here. Often times you’re just not on the same page. Not purposely but just because there is not a single system or tool that bridges the communication gap. This is especially true for marketing and the flow of documents passed down to sales.

Drawloop is the solution to bridge the communication gap. Drawloop’s LOOP Document Services provides a destination entirely in Salesforce to post relevant sales support documents, as well as access them. Documents are merged with Salesforce data, and all other formatting, branding and content is completely protected.

By utilizing Drawloop, marketers can now be confident that sales will:

  • Have the most up-to-date version of documents, collateral and presentations
  • Comply with brand standards both visually and with content
  • Communicate with a consistent voice across the organization
  • Adopt and utilize marketing materials vs. create their own version
  • Reduce or eliminate duplicate or reformatted content
  • Deliver materials and track all activity from within Salesforce

And because your marketing automation system more than likely integrates with Salesforce, any lead sent to sales can even trigger (via workflow rules) the generation of a document or automatically send one without ever having to push a button.

And within your marketing department, Drawloop helps to:

  • Reduce overhead and resources allocated to document management
  • Increase efficiency of the entire organization
  • Create a consistent distribution process to distribute documents to sales
  • Gain transparency of proposals and activity specific to opportunities in the pipeline

Next week we’ll look at how Drawloop has helped finance, legal and other organizations streamline the distribution and review process around documents.

Salesforce Veteran Brings Over 20 Years of Sales and Alliance Experience

We are pleased to have Kirk join our amazing team!

Irvine, CA – May 12, 2014 – Drawloop Technologies, the document generation app for Salesforce, today announced that Kirk VanDervort has joined the company as vice president of sales. He brings over twenty years of experience managing sales, strategic alliances and channels for various organizations. VanDervort will be responsible for building Drawloop’s sales pipeline in order to achieve revenue goals, focusing on enterprise companies, systems integrators and the Salesforce sales organization.

“Kirk’s extensive sales and alliance experience is going to be a major asset to Drawloop,” said Jim Roberson, president of Drawloop. “He is an expert in navigating the Salesforce ecosystem which is extremely valuable as we continue to develop and build relationships.”

Most recently, VanDervort managed strategic alliances at Actian (formally Pervasive), focused specifically on the Salesforce relationship. During his tenure, he grew the business 30% year-over-year. VanDervort has also held various sales leadership, alliance and individual contributor roles at PureSafety and other companies.

“Drawloop has an impeccable product and service reputation, so joining their team was an easy decision,” said VanDervort. “It’s an exciting time for both Drawloop and Salesforce, and I’m eager to build their sales organization and create new revenue opportunities.”

QBR Account PlanIt’s Sunday night and tomorrow morning is your favorite meeting (said with sarcasm) – the monthly management meeting. As the Midwest Sales Director, it’s your responsibility to report on your team’s account plan and pipeline. Dreading the process, you open last month’s account plan presentation in PowerPoint. At the same time you open Salesforce and begin to manually pull and consolidate the latest data, hoping that:

  • Your team has updated their account information
  • Your team has updated their opportunities and the status for each
  • The data your team has inputted is accurate and up-to-date

Two hours later, your PowerPoint presentation is ready and you can finally go to bed.

Bad Data in SalesforceFor too many executives, this monthly ritual is a necessary evil. It’s the very reason your company adopted Salesforce – to create a consistent process by leveraging a single platform where sales performance metrics and goal-level attainment data can be pulled. However, there’s no guarantee that your salespeople are adhering to the process; or that the data is up-to-date or accurate especially if they are creating presentations, quotes, and other sales documents outside of Salesforce.

Drawloop eliminates almost every “what if” for sales executives when it comes to documents and data. With Drawloop, your sales team can only access their required sales documents in Salesforce. And they can ONLY use Salesforce data to populate the document templates. This means one thing – their Salesforce data HAS TO BE accurate and up-to-date. Otherwise, their sales documents will be inaccurate and that jeopardizes sales – a risk they are not willing to take.

By generating documents with Drawloop entirely within your Salesforce environment, you will:

  • Increase Salesforce adoption
  • Create an even more consistent sales process
  • Improve Salesforce data compliance, quality and accuracy
  • Create a replicable document process across your entire sales organization
  • Enable reps to create more professional, consistent sales documents
  • Improve sales rep productivity
  • Train and ramp up sales team in little time

Salesforce Data with DrawloopBut that’s not all. Drawloop improves your world as well. Just like your salespeople, you now generate all of your account plan presentations and forecasts directly from Salesforce. All you have to do is select the account plan document template from a drop down menu in Salesforce and click the DDP button (stands for Dynamic Document Package). This literally takes seconds instead of hours. And since Drawloop relies solely on Salesforce data to generate a DDP, you can be sure your account plan presentation will be accurate and up-to-date. And in the process you’ll probably get a couple more hours of sleep on Sunday nights.

Read how Astadia executives use Drawloop to generate and manage their Account Plans directly from Salesforce.

Next week, we’ll address how Drawloop helps marketing organizations distribute documents to sales and other teams ensuring they are the latest version and within brand standards.

Part Two of our “How to Turn Your Document Process from a Productivity Drain to a Productivity Gain” series

Salesforce Service CloudIt seems that our patience is running shorter and shorter, especially when it comes to customer service and support. If a customer has a problem, question or needs assistance, he/she wants it solved yesterday. And if it isn’t, there are now many channels – social, ratings and reviews – where he/she can voice their dissatisfaction. Thus, being able to respond immediately is crucial to your success and even company reputation.

In order to exceed or at least meet expectations, today’s service and support organizations need immediate access to the documents, data and information needed to address customer service requests. Drawloop helps your service and support teams keep a pulse on accounts and respond to customer needs faster. Our document generation app sits directly in Salesforce (Service Cloud), which makes creating and accessing documents, data and customer account history easy and extremely efficient. With Drawloop, you can:

  • Create a consistent process to respond to customer needs and distribute documents
  • Access customer account history and create supporting documents faster
  • Eliminate the need to chase down information or contacts to copy and paste into your documents
  • Improve response time – complete a customer support call, click a button and your customer receives an email with a customized document package
  • Obtain complete visibility into the customer history, documents used and exchanged

Instead of having to search on your desktop, a server or yell over to your cube mate, Drawloop provides immediate access to the information you need to assist customers:

  • Support and case management documents
  • Service manuals
  • Contract renewals
  • Account summaries
  • Product information packages

Drawloop helps your service and support organizations not only improve customer service and support, but also save your brand from possible negative repercussions.

Next week, we’ll explain how Drawloop is a powerful tool for executives who need accurate and up-to-date visibility into sales and other data.

And don’t forget to check out part one of our series where we discuss how Drawloop helps sales spend more time with customers instead of generating documents.

ddpNo matter what organization you are in or what title you may have – you deal with documents on a daily basis.

And as you’ve probably experienced, jumping from screen to screen manually generating and editing these documents takes up way too much time. Time you’d rather spend doing other things – like your real job. The reality is that these documents are here to stay, but that doesn’t mean the process to create, edit or send them needs to be so time-intensive.

Over the next few weeks, we’ll look at how Drawloop makes generating documents a breeze entirely in Salesforce, no matter where you work within your organization – sales, marketing, legal, customer service, support, product management, operations, human resources, finance or procurement. Today, we’ll start with the biggie – Sales.

Spend More Time with Customers. Not Documents.

John needs to create a proposal for a new opportunity. So, he does the usual:

  • Find the last proposal created
  • Copy the contact, account, pricing and other information from Salesforce
  • Paste the data into the existing proposal documents with the good ol’ “find and replace” full proof methodology

Except every now and then, it’s not so full proof. Every now and then, the other company’s name gets left in. Or the pricing doesn’t get updated. Or you end up using the wrong template. As a salesperson, documents are your lifeline. No proposal or contract = no commission. Worse yet is spending hours to create these documents only for them to contain errors. This is not only a huge productivity drain, but it also puts revenue at risk. It’s a simultaneous must-win and no-win situation.

What if John’s document generation process instead looked like this?

  • Go to the Opportunity in Salesforce to confirm the data is up-to-date
  • Click a button, select the proper document package (DDP) to run and the desired delivery option (for example, Send via Email)
  • In seconds, the proposal is created with all of your data . . . no errors, no wasted time

John is now freed up to focus on selling and not creating all of the documents required to close his sale. From a button click, the proposal is created, the email is sent and the proposal is automatically stored on the Opportunity.

Oh and by the way, John just spent minutes, not hours, and he never left Salesforce. For any Salesforce user this means one thing – Drawloop makes the value proposition of managing your entire sales and document process in Salesforce a REALITY. You never have to leave Salesforce again to create, manage or send another document.

  • A custom cover letter (in Word) and a marketing brochure (PDF) requested by a new prospect
  • A presentation (in PowerPoint) for a first-time meeting, specific to the customer’s industry
  • A contract (in Word) with state-specific terms and conditions that needs to be routed to legal prior to sending to the prospect
  • A quote (in Excel) where product pricing is automatically inserted using Excel and calculated values being passed to other proposal documents (in Word and/or in PowerPoint) while also updated calculated values (like net profit) back into Salesforce

Drawloop even gets your executive team off your back because now that your data is up-to-date, they won’t be asking you for the latest information to create their weekly pipeline, account plan summaries or quarterly business reviews . . . these are also automatically created with Drawloop because all of your data is up-to-date in Salesforce!

Drawloop is the answer to every sales person’s biggest plea – help me do the job I was hired to do . . . SELL. To read more about how Drawloop has helped sales organizations, take a look at customer success stories from Astadia, DocuSign and LinkedIn.

Next week we’ll look at how customer service organizations use Drawloop to improve service and the customer experience.
