Firmex was built to make complex collaborative challenges streamlined, organized and secure. Their products enable clients to securely share large volumes of highly confidential and sensitive documents for commercial and financial transactions, litigation, clinical studies, procurement and regulatory compliance.

When Firmex started with Salesforce.com, they deployed and used the native Salesforce Mail Merge functionality for their document creation needs. The process worked but it required many manual steps for users. The Salesforce Mail Merge required the following manual steps:

1 – Input the data

2 – Merge to a single document

3 – Open the file to review

4 – Save the file

5 – Go back to Salesforce email

6 – Create a new email

7 – Manually browse and attach the file

8 – Send

After using Salesforce.com Mail Merge, Firmex was looking for a better solution to eliminate all of the extra manual steps while at the same time delivering functionality to make sure native merged documents were not exposed to users. With Drawloop’s document service, Firmex eliminated all of the extra steps and delivered a process that is quick, easy and compliant for all document creation.

“Drawloop has made the process of sending quotes and contracts faster and easier. Drawloop has saved us both time and money, which is extremely important as we strive to run a lean business and transfer those benefits to our clients. I would highly recommend Drawloop.” Fraser Schad, Firmex

Firmex also added “Send to DocuSign” as a DDP delivery option. With this additional functionality, Firmex reps can click a button to dynamically create all of their documents and automatically send to DocuSign for electronic signature. Now, Firmex has real time data to know the contracts have been delivered, opened, and signed.

Firmex has continued to leverage our service and incorporated the use of DDPs to create all of its invoices directly from within Salesfore. The automated process with Drawloop allows them to send invoices directly to customers, and automatically save a copy of the invoice at the account as a record.

As an active user of Salesforce, we often find ourselves looking for help within the Salesforce community or posting feature requests on the Salesforce Idea Exchange. While participating in this amazing community, we kept seeing ideas shared that related to documents (our expertise). Those ideas presented an opportunity for us to review our current document services (LOOP, LOOPlus and LOOP Reports) and see how we could incorporate real solutions to posts on Idea Exchange.

We are pleased to officially announce LOOP Merge – the answer to over thirty (30) Salesforce Ideas. LOOP Merge significantly enhances, compliments and extends the out-of-the-box Salesforce Mail Merge functionality.

Our Objectives:

Enhance the current Salesforce merge process

Improve maintenance and organization of merge templates

Support multiple browsers and operating systems

Extend merge to other applications and file types

Pricing: $4 per user/month (no minimum users)

Enhancements (11 ideas)

Increase File Size Limitation of 1MB: LOOP Merge allows you to upload your merge templates into the Salesforce documents tab which has a file size limit of 5MB. Like LOOPlus, you can also work with publicly accessible URL based documents which allow you to go beyond the 5MB limit if needed.

Date Formatting: All dates used by any of LOOP Document Service format the date using the long date format by locale.

Empty Fields: All fields that do not have values pass as a blank instead of “______”.

Ability to Select a Contact: Accounts, Cases, Opportunities and Contracts allow you to select contacts related to the object.

Customize the Button: You can easily deploy your own buttons and point to the LOOP Merge s-control.

Additional Delivery Options: You can Email, Email and Attach, Attach Only or send the Mail Merge Document to our free LOOP service where you can download or add any additional documents to the final merged PDF file.

Maintenance and Organization (7 ideas)

Folder Support: LOOP Merge allows you to upload your merge templates into the documents tab and store in any document folder – any security established within document folders will control access for available LOOP Merge documents.

Update and Tracking: Deploying templates in the documents tab also allows you to update and track templates.
