We wanted to share a few recent customer reviews where Drawloop was able to help maximize resources, drive user adoption, and deliver a one-click solution for all document creation needs within Salesforce. By deploying LOOP Document Services, we are helping our customers transform into social enterprises. Contact us today to schedule a time to learn more.

Amazing!
by Kevin Delahunty

“We had no idea what an important part Drawloop would play in our business, and in hindsight could not have hoped for a better product and more delightful user experience. The product works as, or better than, advertised. The support team is proactive, helpful, patient, and has offered creative solutions that have improved our efficiency. We have been big fans for 3 years, and hope to be for many more!”

Does what you need and more…. and best customer support in the business!
by Clayce Rodamer

“Drawloop really helps my clients improve their efficiency and quality of product related to document creation and communications with their customers. The range of features almost assures you can solve any document creation/distribution task you need to get done. And if you get stumped, their customer support is always right there to help.”

Great app with fantastic support!
by Peter Grealey

“We are using Drawloop to manage all of our insurance company communications (e.g. Quotation Pack, Policy Pack, Renewal Pack, 7 Day Cover Notes, etc). These are very complex documents, but we have found it straightforward using Drawloop. You have to try it to believe it!”

We are excited to announce and highlight some of the new features available in the latest edition of LOOP Document Services. It is available to install today from the Salesforce.com AppExchange!

NEW DDP FEATURES

Merge Originals

We have expanded what a DDP administrator can do with “Deliver Original Docs”. Historically, LOOPlus allowed you to build and deploy dynamic document creation merging Salesforce data into any combination of Word, Excel, PowerPoint and PDF files. The DDP administrator could determine to return a single PDF, a PDF of each document in the DDP or each original merged document in the DDP. With LOOP 6.0, you now have the option to merge and then combine multiple Word, Excel and PowerPoint documents to a single Word, Excel or PowerPoint file.

- Merge Word to Word (doc to doc)
- Merge PowerPoint to PowerPoint (ppt to ppt)
- Merge Excel to Excel (xls to xls)

Word Example:
You have a proposal or statement of work that is made up of 4 different Word template documents. Regardless of the required documents, you want to return back a single merged Word document. Now, you can simply add “merge from previous” to your DDP manager. This allows you to build all of the required DDP logic and workflow and specify if you want all of the Word template documents to merge to a single Word file. In addition to merging to a single Word file, you can evaluate Salesforce fields or other form field logic to determine for example if an additional disclosure needs to be included. For contract negotiations, you can even deliver the single merged Word file with tracking turned on. This is great to start the redlining process.

PowerPoint Example:
You can now return a single PowerPoint file managed at the DDP level with various optional and/or required presentation elements of a PowerPoint slide deck. This provides the DDP administrator and end-user with ultimate control over dynamic PowerPoint document generation. See our support site for more information.

EchoSign Enhancements

Now, you can send a DDP for e-signature through EchoSign with the single click of a button. The button click allows you to automatically generate highly customizable dynamic documents (NDAs, Quotes, Contracts, Service Agreements, Statements of Work) to an EchoSign Agreement within Salesforce. The DDP can be defaulted with all of the appropriate agreement settings and recipients. Additionally, the EchoSign Agreement can be signed in person either on a computer or mobile device.

Send a DDP to EchoSign in one click
From the click of a single button, you and your users can send DDPs to EchoSign automatically submitted for e-signature!

Permission Sets

We have listened to our DDP Admins – with LOOP 6.0, you can easily add Permission Sets for DDP Admins and DDP Users. You can grant DDP access to individual users without having to clone your profiles. The DDP Admin Permission Set includes full CRUD rights to all of the LOOP custom objects as well as Read, Create, and Edit rights on documents. The DDP User Permission Set includes only Read access to LOOP custom objects and documents, and full CRUD rights on the Document Queue.

Contact us today to see how you can take advantage of these new DDP enhancements!

With Salesforce extending features like Chatter, we have helped our customers transform document creation into a critical part of their social enterprise. We believe that dynamic document creation is one of the most important and critical daily tasks for nearly every business. With Drawloop, our customers are connecting dynamic document creation to Chatter allowing them to connect the enterprise.

When a business adopts dynamic document creation in the cloud, it enables the enterprise to connect all of the activities required before and after the dynamic document package (DDP) is created. Dynamic document creation drives the behaviors required for the business to become a social enterprise.

Drawloop helps drive adoption and improve the quality of data in the social enterprise. By integrating dynamic document creation from within the sales and service clouds, users must go to the platform to create their proposal or quote or contract which insures the accuracy of all data share with everyone in the business. Documents are no longer downloaded trapping critical data on the desktop or within the document itself.

Let’s look at typical example:

“The Sales Proposal”

Most enterprises still expose the template documents of a Sales Proposal to the end user. This allows changes to pricing, customer data and other critical information to be stored outside of the social enterprise. Drawloop challenges this well-established business process and enables the enterprise to connect in new and powerful ways allowing the business to become social with all of its document creation. By making the Sales Proposal a dynamic document package (DDP), the social enterprise can connect and track all of the activity knowing the data is 100% accurate and up-to-date in real time.

Moving dynamic document creation to the cloud results in:

100% adoption – docs are created in the cloud

Data is accurate and up-to-date

All sales quote and pricing data is captured

The DDP is stored and feed through the Social Enterprise

Users can create, modify and share all document creation from any device

Is your document creation social? Take a look at Drawloop to allow your business to work better, together!

Our most recent release of LOOP Document Services includes a seamless integration with the new Salesforce Visual Workflow and Cloud Flow Designer (“Flow”).

Salesforce Flow is a new feature available in the Spring ’12 release. It allows SFDC users to create a “point and click” visual process for building any business workflows. We see Flow as a first step to place workflow management into the hands of a business analyst vs. a programmer. Our Drawloop team immediately saw the power and vision of incorporating Dynamic Document Packages (DDPs) into Flow. We are pleased to announce this powerful new feature is available today on the AppExchange. Install a 30-day free trial or update to the latest version of LOOP Document Services.

Sample Flow Use Case:

A Call center has developed various business rules and workflows depending on the type of a new Lead. Flow allows you to visually map out the various workflows for each new Lead depending on your business rules. With the new Flow DDP integration, a user of Flow Designer can now add a DDP “to the flow”.

- New Lead comes in
- Flow exposes a process to collect data on forms
- Flow calls the appropriate dynamic document package (DDP) to run
- New Lead receives an email with the customized DDP per the appropriate workflow

Learn more about Flow Designer or take some time to review a recent Webinar about Visual Workflow and the Cloud Flow Designer.

This is a powerful new delivery option for DDPs highlighting yet another value add when businesses combine our dynamic document creation service with Salesforce and Box.

How does a Salesforce user send the DDP with a Box Share Link?

The user simply clicks a button from any Object, selects the DDP to run and then he/she will automatically go to a Salesforce email template with a Box Share Link in the email text rather than having the DDP attached to the email.

Benefits of Box Share Link DDP delivery include:

Control how your customer or prospective customer views the DDP (document package)

Allows you to control and monitor all DDP views

Automatically creates a dynamic document package (e.g. Sales Quote) and sends an email from Salesforce with the Box Share Link placed directly into your Salesforce email template

Allows you to send larger DDP file sizes via email as you are not limited to Salesforce email attachment constraints

Automatically stores the DDP within a Box folder allowing you to leverage all of Box’s features

Weekly Sales Report

Requirement:
Need to send out a weekly sales report analyzing data for various divisions and product lines.

Problem:
Wasting time every week pulling all the pieces together to email out to the various stakeholders . . . too many manual steps!

Solution:
Give all of your stakeholders a scheduled Chatter post displaying your weekly sales report formatted exactly how you want it . . . no more manual steps or lost email attachments.

Due to some exciting new customer deployments, we wanted to share again how you can use Excel as middleware when running dynamic document packages (DDPs) within Salesforce. It is often the case that companies have “legacy” Excel files with complicated calculations and intellectual capital wrapped around business rules. Or, have a need to incorporate complicated calculations when running a DDP and don’t want (or have the expertise) to replicate all of the formulas within Salesforce.

With LOOP Document Services, you can leverage Excel as middleware to run dynamic calculations at run time. Picture an Excel file that gives you a series of calculated numbers (or text values) in cells B20, C20 and D20. You can have the calculated numbers dynamically merged from cells B20, C20 and D20 in your Excel file to a Quote summary (.doc or .ppt) file.

Some examples include:

1) Use Excel for Internal Pricing Calcs

Perhaps you need to run a DDP for internal purposes that provides management with profit margins and other internal pricing metrics based on Sales Quotes generated by all of the sales reps. All of the confidential pricing metrics are calculated in an Excel file at DDP run time (never exposed to anyone) and merged to an internal Pricing Summary for management.

2) Use Excel for Complicated Formulas

A financial institution provides DDPs to financial service representatives to run analytics for customers. The financial institution uses a combination of Salesforce values and Excel calculations to generate the Customer Profile Summary. The Excel file contains calculations and metrics to take in assumption data from Salesforce and then run all of the required calculations in Excel.

Please contact us today to schedule a time to learn more about how your organization can leverage our document service using Excel as middleware.

One of our favorite DDP Admins, Dave Benton at Austin Ventures, has recently deployed a powerful “Send to Box.net” DDP delivery option. Another example of the creativity we see from our customers and the power of connecting cloud services (Salesforce + Drawloop + Box).

Business Requirement:

Dave needed to dynamically create his “Weekly Deal Summary” spreadsheet using data from Salesforce.com for all of the stakeholders at Austin Ventures. Many of the stakeholders are mobile and need to access the Weekly Deal Summary from a mobile device (smart phone / iPad). In order to track the history and provide easy “download and view” capabilities, Dave wanted to have the spreadsheet stored on Salesforce and on Box.net.

Solution:

Dave created “Send to Box Folder” as a new DDP Delivery Option.

By leveraging our “Send to Box” integration for DDPs within Salesforce, Dave was able to automate (i) the dynamic creation of his Weekly Deal Summary and (ii) the automatic storage of the document on Box.net where all of the stakeholders can view the document at anytime.

Nice work Dave and a very creative new use case for our Box integration within Salesforce!

Administrative Steps to Create “Send to Box Folder”:

DDP Steps:

1) Add a New Delivery Option

Select “Email” delivery option and name it “Send to Box Folder”

2) Check to email the DDP to “Internal Email” which will enable the DDP creation via Salesforce email without the need for a Contact at run time (you can run from a button click or Salesforce workflow)

3) Copy and paste the Box Folder email address into the “Additional To” field

Box Steps:

1) Create a new Box folder or go to an existing Folder

2) Click Folder Options and select “Folder Properties | Advanced Properties”

3) Click on “Email Options” and the select “Allow uploads to this folder via email”

Now, you are ready to get the unique Box Folder email address. To get the address, go to “Folder Properties” and then select the “General” tab. You will see the Folder Email Address at the bottom.

We wanted to share a recent customer review where Drawloop was able to help maximize limited resources at a non-profit. By deploying LOOP Document Services, the non-profit was able to completely automate its time consuming document process around receipts and donations. The power of automating document creation is huge when complemented with Salesforce workflows and triggers!

Automated Our Donation Acknowledgement Process
by Alan Corcoran

“I’m a volunteer with a non-profit organization and we have to send paper based receipts as well as “thank you’s” for all donations we receive. Even with an enhanced non-profit version of Salesforce, we could only partially automate this process. With the Drawloop DDP concept plus some excellent tips from the Drawloop team, I was able to completely automate the generation, population, attachment and queueing of the Donation Acknowledgement package, saving us time and eliminating the need for generating “task” reminders and additional manual steps. Drawloop gives us more time to focus on fundraising and the arts, reduces Inbox overload, allows us to schedule and delegate printing and helps make sure we don’t forget to send our donors a “Thank-you”, as well as their tax documents.”
